Buyer-Match Agent — AxonEstate
№ 04 · The Compounders · Listing-to-Buyer Matching

The buyer for your
new listing is already
in your database.

You have hundreds of buyers in your CRM with documented criteria. Almost none of them are being matched to new listings in real time. The buyer for tomorrow's listing enquired four months ago — and your team doesn't remember.

The Cost of Forgotten Leads

Your team is doing 3 to 5 matches on a new listing. This agent does 2,400.

Before 3–5

The cost of the manual approach

Your team has 2,400 buyers in the CRM. A new listing goes live Friday. How many of them get a personalised heads-up before Domain publishes?

3–5 Industry average for matched
outreach on a new listing,
done manually.

The other 2,395 buyers who might match? They find out from Domain alongside everyone else — including your competitors' leads.

After ~6

What changes when this agent is running

Same 2,400 buyers. Same Friday listing. The agent runs the match the moment the listing exists in your CRM.

before Domain publishes.

Vendors notice. "Three buyers already keen and the listing's not even live yet" is a story that closes appraisal pitches and lifts your listing rate.

How It Works

From new listing to warm enquiries, before the portal even publishes.

Five stages. Fully automated. Triggered the moment a listing exists in your CRM.

01

Triggers on every new listing

The agent watches for new properties added to your CRM and starts matching the moment a listing exists — even before professional photography is finalised, before copywriting is signed off. Pre-launch is the highest-value window.

02

Scans your entire buyer database

Not just the buyers an agent remembers. Every active record. Every documented criteria set. Every previous enquiry. Hundreds of buyers processed in seconds — the way no human possibly could.

03

Ranks matches by fit, recency, and engagement

Five-factor scoring: price band, suburb match, property type, must-haves, and recent engagement. A perfect-criteria buyer who's gone silent for 9 months ranks below an 80% match who opened your last 3 emails. Hot beats perfect.

Drafts personalised outreach for each match

Not "we have a new listing for you." A specific message referencing the property, the exact reason it matches that buyer's criteria, and a clear next step. Different message for the 95% match than the 78% match. Different tone for long-time clients than new leads.

"Sarah — 14 Meridian ticks every box on your list: 4-bed, double garage, Hawthorn East…"
"David — given your Glen Iris brief, this may be worth a private walk-through before Friday…"
"Emma — a property at the top of your range just came to us off-market…"

Auto-sends or routes for review — your choice

Top-tier matches above your threshold auto-send to keep speed up. Mid-tier matches go to your agent for one-tap approval. Cold matches stay in the long-game nurture stream. Every match logged, every outcome tracked.

Last quarter we listed a place in Glen Iris and three buyers booked private inspections before the photographer had even finished editing. Two of them were people we'd qualified six months ago and forgotten about. One offer at full ask, exchanged in eight days.

What Changes

Three outcomes you can measure within 30 days.

~6

Pre-launch buyer enquiries per new listing

Before the listing hits the portals. The vendor sees engagement before the photographer's invoiced. That story closes appraisal pitches and improves your appraisal-to-listing rate.

2.8×

Faster days-on-market for activated listings

A pre-warmed buyer pool means less waiting for portal traffic. Listings transact faster, keeping your average DOM low — a metric vendors check before they sign.

Zero

Buyers forgotten in your database

The 14-month-old enquiry your team has no memory of finally gets matched to the right property. The database you've already paid for finally earns its keep.

The Personalisation Layer

Match logic tuned to your market reality.

A "match" in inner-Sydney apartments looks nothing like a match in regional Queensland acreage. We tune the scoring rules to your actual market — seven dimensions, every deployment.

i

Price Band Tolerances You Set

Strict ±5% in tight markets, looser ±15% where buyers stretch. Configured per office and per buyer segment — not a global default.

ii

Suburb Adjacency Intelligence

If a buyer wants Hawthorn, the agent also matches Camberwell, Glen Iris, and Kew East — but knows not to suggest Footscray. Local knowledge baked in, not generic geography.

iii

Engagement-Weighted Scoring

A buyer who opened your last 5 emails ranks higher than one who hasn't engaged in 6 months — even at the same criteria match. The system rewards real interest, not paperwork.

iv

Auto-Send Threshold Per Agent

Some agents trust auto-send at 90%+. Others want to review every match. Configured per team member — not just per office — so workflows stay personal.

v

Outreach Voice Per Buyer Relationship

Long-time clients get a familiar tone. New leads get a more formal one. The agent reads the relationship history before writing — not a templated script.

vi

Channel Choice Per Buyer Preference

Some buyers want SMS. Some want email. Some only respond to WhatsApp. The agent uses the channel that's worked before for that specific buyer.

vii

Respects Buyer-Agent Assignments

If a buyer is "owned" by James in your CRM, only James's listings (or shared-team listings with his permission) match. No internal poaching. No buyer ever feels passed around or receives conflicting outreach.

Questions Worth Answering

Every concern we've heard.

01 My buyer database is messy. Will this still work?
Yes — and it's part of why we onboard teams carefully. The Database Reactivation Agent (included in our Momentum tier) cleans and re-qualifies your dormant database in the first 60–90 days, which dramatically improves match quality. Most teams see the real lift around month three when both agents have done their work.
02 Won't sending too many messages annoy my buyers?
It would, if every buyer received every listing. The agent has built-in throttling — no buyer receives more than a configurable number of messages per period, and only properties above a personalised match score reach them. Most buyers in our deployments receive 2–4 listings per quarter, not 2–4 per week.
03 Can I exclude certain buyers from auto-matching?
Yes — VIP buyers, high-value clients, and off-market specialists can be flagged "human-only outreach." The agent surfaces matches to your agent for personal handling instead of auto-sending. Nothing goes out without the right person reviewing when that flag is set.
04 What if a buyer is already working with one of my agents?
The agent respects buyer-agent assignments. If a buyer is assigned to James, only James's listings match for that buyer — unless the listing is explicitly shared across the team with James's permission. No internal poaching, no buyer ever receiving messages from two agents on the same listing.
05 Does it work for off-market and pre-list properties?
Yes — and this is where it shines. The agent matches off-market properties to a smaller, qualified subset (e.g., active VIP buyers only), generating private outreach without ever publishing the listing. Many sales close before the property would have gone public. Off-market is the highest-margin window in your business.
06 How does it match buyers whose criteria are old or vague?
It infers criteria from the original enquiry (price band, suburb, property type, beds), enriches with conversation data captured by the Qualification Agent over time, and tracks engagement signals. If a buyer's been quiet for 8 months, the agent matches conservatively and frames the outreach as a soft check-in rather than a hard pitch.

The buyer for next week's listing is already in your CRM.

You've already paid for them. They've already told you what they want. The only thing missing is the moment of connection — and that's the gap this agent closes.

Every Friday morning, your competitors lose a buyer to your office because you matched first.
